Please use our voice mail or e-mail system to make your request. Send your request to 5MEDIA (GroupWise users only) or call extension 2170. If are e-mailing externally (AOL, MSN, etc.) the e-mail address is iml5620@dcccd.edu. (If your e-mail is sent to any other e-mail address or voice mail ext. in our department your request may be overlooked.) Also, you may click on the link to the left titled “on-line request form”! Fill out the form completely and we will confirm your request or drop by the media department to place your order. We are located in the B building on the 2nd floor, room B240.
Daily & Semester ReturnsPlease place your request at least two days in advance. Your request will be delivered and picked up by media personnel. Anytime less than two days is considered "Late Request" and you will be subject to picking up and returning all materials checked out from the media department provided they are available. All equipment/non-print material checked out will be due in the media department no later than the date and time agreed. You should make arrangements with media personnel to keep any equipment past your return time. If you desire to take equipment or materials off campus you should indicate that when you’re making your request. It is necessary for you to check out items in person for off campus use. (There are special forms that require signatures.) Please check with media personnel on equipment allowed off campus. Please keep in mind that equipment is to be used for El Centro related events only! No exceptions! Your off campus event will be verified through your division office before use of equipment will be granted.
For those who check out limited equipment for an entire semester you are required to visit the media department in person to pick up the equipment. Once you take possession of the equipment, it is your responsibility to notify media of minor repairs needed, or damage to the unit. You are to keep equipment in locked storage when not in use. At the end of the semester it is important that you return all items to the media department. Should you need to use the equipment for the following semester, or during the break period between semesters you must notify us. We must physically see the items for inventory purposes and to determine what service the equipment may need.
Cassette, DVD & VHS DuplicationShould an accident occur, and you find the equipment/material damaged please report the incident to the media center A.S.A.P.! Should the media center discover damage due to neglect or abuse the Manager of Media Services will notify you and the Executive Dean of Information Technology Programs and Systems, of our findings. You are expected to return all items on or before the due date. If you find that you are unable to return your item on time please contact the media department A.S.A.P. We can always make other arrangements for return providing the item you have has not been reserved for someone else.
The media department is equipped with duplication service for audio/video/DVD reproduction. We will duplicate material that is directly related to the academic studies here at El Centro only. Under no circumstances will we duplicate personal formats of any kind, formats rented from video stores or formats that clearly indicate; "DO NOT DUPLICATE".
Teleconference/Viewing Room UseAlthough we can record special programming from network and cable broadcasts, there are certain things we are not allowed to do. It is against the law to alter any broadcast item, nor are we allowed to keep a recorded broadcast available beyond a 45 day period. However, should we discover that the broadcast is available for purchase we will inform you. We receive orders for duplication on a first come, first serve basis. Most often turn around time can be the same day. However, you should plan on allowing at least a week for your request to be completed in case there are orders ahead of yours. Only special circumstance, determined by media personnel, will be considered for immediate turn around. Videotapes cannot be duplicated at high speed as audiocassettes or DVD’s. It takes "real time” to duplicate a videotape. You will be notified when your tapes are ready for pick up in the foyer of the media department. With new technology, some DVD’s have digital keys or locks embedded in them. This will not allow duplication. We will inform you if we are unable to reproduce the format.
Should you need to view a format you must call at least a day in advance to schedule a time to use the viewing room. Reserving the space in reserving the space in advance assures room availability. Media personnel must clear room for use.
Saturday & Sunday RequestsAlthough students are not allowed to check out items from the media department, they are welcomed to use items in-house. Under unusual circumstances, should a student find a need to use non-print material and/or equipment outside the media department, say for classroom presentation, they should have an instructor come to room B240 to check out items for them. This cannot be done over the phone as the instructor's signature is required. Do not send students to check out equipment unless they are working on campus. They must present a work I.D. when they arrive.
The Media Center is closed on the weekends. If you have need for media items for use on the weekend, you must make your request before 3:00 p.m. on Friday.
Smart Carts, Portable LCD Projectors & LaptopsYour item of request will be delivered to the foyer of the Continuing Education office located on the second floor of building A. We ask that you return the item(s) to that location when finished. Media staff will retrieve the item(s) on the following Monday.
Persons requesting technology cart (presentation equipment) bookings should call the media office for details on guidelines and procedures. Each person who requests these items must be trained! Training takes about 30 minutes. Our primary days for training are Mondays and Tuesdays at 12:30. You must contact the media department to schedule one of these times. We will make arrangements with you if these dates and times do not work for you.
Digital CamerasTechnology carts and laptops are not available for off campus use! We do have portable LCD projectors available for off campus use. If you need a laptop for off campus use please contact college computing at extension 2167.

Classroom Instructor StationThe cameras are to be used for campus events only! Please follow the procedure for “ordering equipment” listed.
Most all of the rooms have permanently installed AV/IT units which are equipped with locked cabinets. For access, you must request a key from the facilities department by way of your division office. Once the form has been submitted the facilities department will contact you for pickup. Please do not call the media department for access.
Middle College - Special ProvisionsIt is your responsibility to return the key to facilities department if no longer needed. You are responsible for securing the unit when finished. Please make sure all covers and cabinet doors are securely locked after each use. Please make sure the classroom doors are locked after each of your class sessions.
All Middle College staff and faculty are required to make all media requests through Vivian Flores, at extension 2211. In turn, Ms. Flores will contact the media center to book those requests with us.
Student Center A/V Lounge - Room B119
The A/V lounge is equipped with a 54” LCD wall mounted monitor and control panel. Theater surround sound offers the best in audio control for a variety of formats. Music CDs, DVDs, VHS and Time Warner cable is available for your use. There is no need to request additional audio visual equipment as this room is AV ready! The lounge is always available for news broadcasts from CNN during the hours of 8:00 am to 8:00 pm Monday through Thursday, on Fridays the lounge closes at 4:00 pm. In order to request the use of the lounge you will need to contact the campus room use coordinator. Please indicate at the time of booking that you will need media support services.
TThe A/V lounge is considered a “public viewing” space. Because of this, certain personal or rented video formats are not allowed to be viewed by copyright law. You must use a format that has been purchased by the district or you have viewing permission by a producer or distributor. The media department would need to see the letter of permission in order to proceed with your request. Requests for broadcast changes other than CNN news should be made through the SPAR office. |
